Traffic & Costing Coordinator

We are a fast-paced B2B demand generation agency looking for a personable, self-motivated and detail-oriented coordinator to join our team. The ideal candidate is a self-starter, is able to work with limited supervision, and knows how to multitask. This position requires a team-player attitude with strong organizational and communication skills to support our operations staff.

Responsibilities:

Traffic

  • Assist in coordinating workloads and assigning resources (in order of priority) to team members; confirm they have:
    • an updated list of tasks and due dates;
    • prepared accordingly, giving themselves enough time to meet the deadlines for everything;
    • information they need to proceed.
  • Help gauge team members’ bandwidth for incoming work and existing work, moving Tasks to give a resource more time or pulling in different resources to help.
  • Use Mavenlink’s (task and time management tool) Master Planning page to schedule Tasks within a given resource’s availability.
  • Quickly attend to rush projects and campaign issues–especially in regards to meeting aggressive timelines–and work with AEs to find solutions.
  • Attend internal kick off calls/meetings to understand scope of work and information needed for creative and production resources as needed, and to discuss deadlines and timing concerns.
  • Be aware of creative and production members’ skill sets and availability.
  • Possess a good sense of timelines/status for active projects.

Costing

  • Establish credibility with internal groups (sales and account teams) and develops an acute understanding of our business and marketing programs
  • Communicate clearly with internal account and production teams to successfully cost out programs based upon client objectives and deliverables
  • Create spreadsheets and formal word proposals that effectively communicate our pricing/project specifications and terms and conditions of engagement
  • Works with vendors (as necessary) to determine outside third party costs

Account Support

  • Support internal team in managing multiple projects toward campaign completion
  • Work with team to successfully execute programs based on internal marketing objectives, helping to keep projects on track and within budget parameters
